Getting the spreadsheet
From the USyd intranet
Download is available on the USyd Intranet.
Opening this link http://www.usyd.edu.au/research/docs/ERA_Research_Journal_Ranking_Workbook.xls will allow you to open or save the Excel Spreadsheet. We recommend that unless you save files to a network drive in a structured manner that you save it straight to your desktop.
We recommend that you keep the default name “ERA Research Journal Ranking Workbook.xls”
Open
Open “ERA_Research_Journal_Ranking_Workbook.xls” from where you have just saved it.
From the ARC site
If you do not have intranet access, you will need to download the zip file from the ARC site.
Download and unzip the spreadsheet
http://www.arc.gov.au/zip/era_journal_Ranking.zip
Open the above link, and if you get a security warning, click “Ok”
Unzipping the spreadsheet
You will be prompted to either download or open the file
Select "Open"
A new window will open with one file listed (“ERA Research Journal Ranking Workbook”)
From Folder Tasks, select Extract all files, in the Wizard window select “Browse”, then in the “Select a destination” window highlight “Desktop” and then click the “OK” button
The “Select a destination” window will disappear, and click the “Next” button.
When finished, a new window should open displaying all your desktop files.
The instructions resume from [[b||Open]].
Opening the Spreadsheet
Macro Security Warning #1
Macro Security Warning #1
If the following screen does NOT appear, click here for “Macro Security Warning #2”
This warning means that you need to change your security settings within Excel.
Click “OK”
At this point the spreadsheet will not work until you update your security settings, and reopen the spreadsheet
From the menu along the top of the spreadsheet select Tools / Macro / Security
From there, select the option "Medium"
Click "OK"
For this change to take effect you will need to close and reopen the spreadsheet. You do not have to save it at this point.
Macro Security Warning #2
If you get this security warning
Select “Enable Macros”. This will come up each time you open the spreadsheet, and you must enable macros each time you open it.
Conducting the Review
Your demographics
Please input your details on the “Rankings” Tab
NB – Institution has a Pulldown list of Institution names, but to make things easier while compiling the full list for Sydney please include your department per the example.
Each record that you add, modify, or delete from the list will have this contact information on it to allow the ARC to contact if there is contention about a particular Journal ranking.
Filtering journals to review
- The “4-digit FoR Filter” allows multiple selections at once:
- Click “4-Digit FoR Filter” button
- Scroll down to the 1st selection
- Click the “Up Arrow” ↑ button above the selection list and ensure that it appears in the selection box above
- Repeat the process till all required FoRs are input
- NB – the default “Show Alternate FoRs” means that if the journal is in your requested FoR list it will show up with every FoR that has been assigned to it
- Click the “Filter” button
- Filtering by 2-digit FoR only allows for one selection
- Once filtered you can sort by Journal Name or by Ranking
You can’t filter by name, but by selecting “Clear Filters” and then “Sort by Journal Name” your can either scroll down until you find that journal name, or use the “Find” function within excel which is
Indicating agreement and / or amendments
First, select the Journal you wish to action by clicking on its name from the list
This will bring up the following screen:
There are 4 actions that can be made for each existent Journal / FoR combination:
- Indicate agreement with all aspects of the journal’s rankings for that FoR
- Amend the ranking against an FoR
- Delete the journal for a specific FoR
- Add a new FoR and Ranking to the Journal
Note; if you wish to do multiples of the above actions, complete each change and save the record first. Eg – if you want to up or downgrade a Journal’s ranking against on an existing FoR AND assign a new FoR to the Journal, edit the existing record and save, THEN re-select the record and associate the new FoR
A yellow background indicates that this is a mandatory field to be completed for a given change.
NB - Clicking “Save” only saves the requested record update requested back to spreadsheet; it doesn’t save the spreadsheet itself
It is highly recommended that you save your spreadsheet frequently
Please do NOT use the “In Agreement” function on the “Rankings” sheet UNLESS you are in agreement with the rankings of all Journal and FoR combination that you have not made an amendment to.
What you CAN’T do with this spreadsheet is to add a new Journal. If you believe that there is a journal missing from the list, please send the details of that journal and the FOR that you would associate with it to the appropriate FOR Coordinator.
Viewing modifications / recommendations you are submitting
- Click the “Modifications Report” button in cell D5
- Only records that you have edited (and “saved”) are displayed
- The Yellow cells indicate the changes you have submitted
Submitting the Changes
Once you have completed your review you will need to send the changes to the appropriate FOR 2 digit co-ordinator from the list below.
To do this, you will need to copy the modifications into a new spreadsheet, save it, and then email it.
Copy the modifications
- Save the spreadsheet
- click the Modifications Report button – Do NOT just click to the Modifications_Report tab as this is only as recent as the last time you clicked the Modifications Report button
- Hi-light the entire sheet by selecting the area that is at the Column A and Row1 intersection
- When the whole sheet is highlighted
- Simultaneously push the
and buttons (to Copy), then - Simultaneously push the

Save the new file
- In the same directory or location as the original file
- Save it as “ERA-Rev-dept-surname” (eg ERA-Rev-Maths-Smith)
Then please email it to the appropriate Two-digit FOR Co-ordinator
